Program Assistant IV, Blockchain Law for Social Good CenterUniversity of San FranciscoR0007230USF Hilltop CampusJob Title:Program Assistant IV, Blockchain Law for Social Good CenterJob Summary:The Blockchain Law for Social Good Center (BL4SG Center) at the University of San Francisco School of Law is seeking an individual to provide comprehensive administrative support in the BL4SG Center. The position provides administrative and programmatic support for the Directors of the BL4SG Center. The position works with minimal supervision to carry out routine and dynamic requests, establish, maintain and improve new and existing processes, and solve complex administrative and programmatic challenges and support a senior-level team serving external stakeholders, students, alumni, faculty, staff and other related constituents. The position will also support basic finance and human resource administrative functions as well as other office operations including reception and special project support.The successful candidate will be a multi-tasker, professional, discreet, flexible, organized, a self-starter, conscientious, detail oriented, and committed to fostering an equitable and inclusive work environment. They will have significant detail orientation and the ability to simultaneously manage moving parts and asynchronous schedules. Superior written and oral communication skills are required, as are excellent customer service and project management skills. Personal initiative and accountability are particularly necessary. Advanced office technology experience and a comfort level to learn new technology is also necessary. Familiarity with Slack, Trello, Google Drive, Office 365 and other similar collaborative technologies is an asset.Full Job Description:Job Responsibilities Provide administrative support for the BL4SG Management team, responsibilities to include, but not limited to, the following: manage calendars, set-up meetings and manage related documents and logistics, provide travel support, process expense reports, manage mail, correspondence, and all filings, manage periodic projects related to the Center activities and programs, manage various data projects and prepare reports and presentations, and maintain financial records and monitor the budget for select Center expenditures and events.Welcome, direct and respond to Center guests, answer phone calls, redirect or respond to Center emails, order supplies, and perform other administrative tasks for the Center such as scheduling appointments, photocopying, faxing, ordering lunches, shipping, sorting mail, and assisting with special projects as needed. Participate in the hiring, training and supervising of student assistants, volunteers, and fellows. At all times work as a team-member to ensure the smooth, professional, and efficient running of the Center in coordination with the Management team.Work directly with the Executive Director on budget tracking and reporting, processing invoices and expense reports, and providing other finance support as requested.Support all fundraising activities including milestone tracking, reporting, and outreach to prospective and active donors.Assist in the completion of HR administrative tasks including form processing, onboarding and offboarding, and maintaining records and files for staff, student assistants, volunteers and advisors. Resolve issues regarding policies and procedures in the absence of the Executive Director.Helping conceptualize and organize projects.Creating spreadsheets and developing online resources as necessary.Maintaining confidential documents and electronic file storage system.Inputting, formatting, proofreading and production of final versions of documents including heavily footnoted manuscripts, course examinations, syllabi, class notes, charts, tables, correspondence, merge letters and forms, labels and envelopes. Familiarity with footnoting, end-noting, tables of contents and advanced document formatting preferred.Providing training sessions, as needed, with individuals on the Center's technologies.Providing reception for the office in coordination with other staff. Receives and screens a variety of calls, takes information, answers inquiries, and provides information using knowledge of the Center, University and Law School policies and procedures. Acts as a resource person/liaison for the Center between and among faculty, students and the University community, as well as members of the public. Must establish and maintain effective working relationships with peers in other offices.Purchasing goods and services on behalf of individual faculty and/or the department, as needed.Working independently and with superior judgment to prioritize workload, answer questions and resolve issues. Is trained to act as a decision-maker on behalf of the department when the Executive Director is unavailable.Additional duties as requested to support the operational needs of the Center.Minimum RequirementsUnderstanding and commitment to USF's and the BL4SG's mission, vision, and values.Post high school education preferred.A minimum of 3-5 years of increasing responsibility in administrative assistant work and ideally project management work with a preference for experience supporting senior level executives or academic administrators.Must have a growth mindset and be customer service and team-oriented with the ability to establish effective working relationships with staff, faculty, department administrators, and the public.Experience with or the ability to work with a diverse student body, faculty and staff. Strong equity lens, cultural humility and proven ability to work well in a diverse context.Excellent communication (both oral and written), organizational, time management and analytical skills required. Highly attentive to detail and accuracy.Capacity for high volume, accurate work production and for organization and structuring own workload. Excellent proofreading skills.Position requires a quick learner with proven flexibility and a desire to work in a fast-paced, challenging environment. Must be able to produce technically complex documents including merge documents, heavily-footnoted manuscripts and graphics with minimum of supervision and work direction. Event planning, financial processing, and data management experience preferred.Demonstrated ability to juggle multiple responsibilities and competing priorities in a fast-paced environment while remaining calm, pleasant, and professional.Demonstrated ability to work independently and resolve problems, seeing projects through to their completion.Proven ability to be discreet when dealing with sensitive and confidential information.Excellent computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Office. Familiarity with Trello, Canva and Eventbrite is preferred but not essential.Strong mathematical, computational, analytical and management skills are preferred. Experience with report preparation and presentation, including those using charts and graphs, and experience tracking data and using spreadsheets preferred.
